Rules and Regulations Emilia Gravel 2026

Art. 1 – Registration

The event is open to all persons who have reached the age of 18 at the time of registration, of any nationality.

Art. 2 – Insurance

Participants will be covered by event insurance from Friday 25 September through Sunday 27 September at 23:59.

The Organisation reserves the right, at its sole discretion and at any time, to accept or decline a registration, or to exclude a registered participant from the event should their conduct risk damaging its reputation.

Art. 3 – Medical certificate – mandatory for all participants

All participants are REQUIRED to submit to the organisation a medical certificate of fitness for cycling (Certificato Medico Agonistico per il Ciclismo), compliant with Italian Ministerial Decree of 24/04/2013 and issued by an accredited Sports Medicine Centre or physician, and currently valid. The certificate must have an expiry date after 27 September 2026 and must be uploaded at the time of registration; alternatively, it may be sent by email to info@emiliagravel.com by 21/09/2026.

Uploaded certificates will be checked and validated within 15 days of receipt. If a certificate does not meet the requirements, it will be rejected and deleted, and the participant will be required to submit a compliant one.

The Competitive Medical Certificate must be specific to CYCLING. We cannot accept medical certificates issued for other sports such as triathlon, athletics, etc.

Participants who fail to comply with this requirement will not be considered validly registered and will not be entitled to a refund of the registration fee.

Each participant must declare, pursuant to Presidential Decree no. 445 of 28 December 2000, that the documents they have submitted are truthful and correspond to the originals in their possession. They must also declare whether they are already part of a ASD (a sport team).

Art. 4 – Route and GPX track

The route starts in Busseto (PR) and finishes in Reggio Emilia.

The long route (Tin Bota) is approximately 300 km long (±10%) with 5,400 m of elevation gain; the short route (Tola Dolsa) is 230 km long with 3,200 m of elevation gain; the Touring route is approximately 200 km long with 2,900 m of elevation gain.

All routes run on gravel roads, paved roads, and trails.

The Touring route is more leisure-oriented than the other two, running predominantly on secondary roads and cycle paths.

The organisation will provide all participants with a complete GPX track to follow to the finish in Reggio Emilia. However, participants are informed that at any time and for any reason related to safety – including traffic and road conditions, roadworks, diversions, and any other unforeseeable circumstances – each participant is free, at their own discretion, to leave the track and rejoin it once the critical conditions have ceased and safety is once again guaranteed.

Participants may therefore deviate from the provided track at any time and rejoin it later, using alternative roads at their own discretion if conditions so require. The organisation reserves the right to modify the route up to a few days before the start.

Art. 5 – Mass starts

  • Date and time: Friday 25 September 2026 at 07:15 and Saturday 26 September 2026 at 07:15
  • Location: Busseto (PR)
  • Registration and kit collection: 24 September 2026 from 17:00 to 20:00, or on the morning of departure from 06:15 to 07:00

A detailed programme will be sent by email to all participants.

Art. 6 – Highway Code compliance

Emilia Gravel 2026 is a free-ride cycling event. The entire route runs on roads open to traffic; compliance with the Highway Code is therefore mandatory. Each participant must be self-sufficient and carry a puncture repair kit.

Art. 7 – Spirit of the event

The event is based on the principles of bikepacking:

  • No external support of any kind is permitted (except in emergencies).
  • Adequate physical preparation is required.
  • A basic ability to use GPS devices and navigate independently is required.

Art. 8 – Mandatory equipment

Each participant must carry the following items throughout the event:

  • Approved helmet, to be worn at all times.
  • High-visibility reflective vest.
  • Front white light and rear red light.
  • Whistle or bell.
  • Fully charged and functioning mobile phone.
  • Puncture repair kit.

Art. 9 – Registration fee

  • Registration opens: 1 April 2026
  • Registration closes: 21 September 2026

Fees:

  • €59: from 1 April to 30 April 2026
  • €79: from 1 May to 21 September 2026

The registration fee includes:

  • Three-day event insurance
  • GPX track of the route
  • Pre-start briefing
  • Event pack
  • Official merchandise
  • Finisher certificate
  • Listing on the finisher page of the official website

Art. 10 – Validity of registration

Registration is considered valid only after:

  • Completion of the online registration process.
  • Payment of the registration fee.
  • Validation of the medical certificate by the organisation.

Art. 11 – Withdrawals and transfers

Registration fees are non-refundable and non-transferable to other participants or future editions. The event pack will not be shipped to participants who do not attend.

Art. 12 – Cancellation or postponement of the event

Cancellation

Should the event be cancelled due to force majeure, the amount paid at registration will not be refunded; however, the registration fee alone will be credited towards a registration for the following edition upon request. The organisation will also be entitled to charge an administrative fee of €19.00 to cover membership renewal and secretarial costs related to the deferral. The request to transfer the registration to the following year and payment of the administrative fee must be made by the deadline communicated by the organisation after the cancellation is announced.

Postponement

Should force majeure or other serious circumstances jeopardise the preparation of the event or the participation of no fewer than half of all registered participants, the Organisation reserves the right to change the venue and/or date of the event within the same calendar year. In such cases, the registration fee paid will remain valid for the rescheduled event at no additional cost to participants. Transfer of the registration to the following year’s edition is not permitted in this case.

Art. 13 – Amendments to the rulebook

In response to new environmental and/or health circumstances, or in the event of changes to the regulatory framework, the Organisation reserves the right at any time to make corresponding reasonable amendments to this rulebook. The official event website, where this rulebook is published, constitutes the sole authoritative source of information about the event. Any differing content appearing in previous newsletters, press coverage, or social media posts may not be invoked.

Art. 14 – Participant consent and liability

By applying to participate in EMILIA GRAVEL 2026, each participant, from the moment of registration:

  • Declares to have read and approved this Rulebook in its entirety and to accept all its provisions.
  • Assumes responsibility for their own conduct during and after the event.
  • Declares to be in good physical condition and to have submitted a valid medical certificate to the organisation after undergoing a medical fitness assessment for cycling, granting the organisation the broadest possible indemnity for any harm suffered as a result of their participation.
  • Declares to be aware that the event in which they are participating is non-competitive and involves no rankings.
  • Declares to be aware that no medical, food, or mechanical assistance will be provided by the organisers of the cycling event known as EMILIA GRAVEL 2026.
  • Declares to be aware that no withdrawal recovery service is provided, and that the organisers are under no obligation to search for participants on the route.
  • Declares to be aware that the organisation is under no obligation to supervise the roads used by participating cyclists.
  • Declares to be aware that the registration fee will not be refunded under any circumstances.
  • Declares to have experience of, and to be aware of the possibility of encountering, adverse weather conditions, and to be capable of navigating and cycling in hilly and mountain terrain in such conditions.
  • Declares to be aware that the organising body “Asd Gruppo Gravel Reggio Parma” is not a professional event organiser, but acts solely for recreational and non-commercial purposes (pursuant to art. 1174 of the Italian Civil Code); and that participation in EMILIA GRAVEL 2026 is always a matter of free choice and for recreational, non-commercial purposes. It follows that the organising ASD GGRP is exempt from, and in any case indemnified against, any liability connected with the EMILIA GRAVEL 2026 ride. It is likewise indemnified against any liability for events occurring to a cyclist during EMILIA GRAVEL 2026, such as: accidents, getting lost, physical problems, crashes, theft, etc. It therefore follows that the EMILIA GRAVEL 2026 cycling event is to be understood as a purely spontaneous and independent gathering of cycle tourists and amateur cyclists on a free and personal excursion.
  • Declares that any cyclist participating in the EMILIA GRAVEL 2026 cycling event waives the right to bring any legal action of any kind against the organising ASD GGRP, acknowledging that it is a non-professional association acting for recreational purposes that do not meet the requirements of art. 1174 of the Italian Civil Code.
  • Gives consent to the use of their personal data, including for commercial purposes, in accordance with the Italian Privacy Code (Legislative Decree no. 196 of 30/06/2003) and the European Union General Data Protection Regulation 2016/679 (GDPR).
  • Grants the organisers the broadest possible consent to use, in any manner permitted by law and including for commercial purposes, any video or photographic image of themselves captured during the event, including the right to transfer such images to third parties. This authorisation is granted for an indefinite period and without territorial limits worldwide, for use in publications and films of any kind, including but not limited to promotional and/or advertising materials produced on any medium. The organisation may also transfer the rights of use provided for in this agreement to third parties and to its institutional and commercial partners. The organisation disclaims all liability, for itself and its collaborators, for accidents or damage to persons or property occurring before, during, or after the event, or as a result thereof.

Medical certificates and Emilia Gravel: let's clarify!

Emilia Gravel promotes responsible cycling and confirms the requirement for a fitness certificate to participate in Emilia Gravel (and many other events).

Why is the medical certificate mandatory?
It is legally required. There is a regulatory framework in Italy for the health protection of sports activities, and cycling event organizers, whether competitive or non-competitive, are obliged to verify the physical fitness of participants.
Therefore, to participate in Emilia Gravel, a medical certificate is required for all routes.

Why is it important?

  • Health protection: A medical examination allows you to check your health status and practice cycling safely. The certificate issued after the examination is valid for an entire year.
  • Sports regulation: It is a requirement under the current regulations for cycling events, even non-competitive ones.
  • Organizer’s responsibility: Emilia Gravel has the duty to ensure your fitness for participation.

What type of certificate is required for participation in Emilia Gravel?

  • Competitive (Agonistico): For all routes (190, 220, 300 km), a certificate of specific competitive sports fitness for cycling is valid (D.M. 18 February 1982).
  • High Cardiovascular Effort: For all routes (190, 220, 300 km), a certificate of fitness for sports activities involving high cardiovascular effort, which does not specify a particular sport, is valid (D.M. 24 April 2013).

How to obtain the certificate?

  • Competitive certificate: You need to go to a sports medicine center and present the request for a cycling examination from a sports club. The examination includes anamnesis, physical examination, resting ECG and stress test ECG, urine test, visual acuity test, and spirometry.
  • High cardiovascular effort certificate: This certificate can be requested by those who are not registered with a sports club. To obtain it, you must contact a sports medicine center. The examination follows the same protocol as the competitive examination.

Frequently Asked Questions:

  • Can I use the general health certificate issued by my general practitioner? No, it is not valid for participating in Emilia Gravel.
  • Is a competitive certificate for triathlon valid? No, Italian regulations do not consider it valid. Therefore, a certificate specific to cycling is required for Emilia Gravel (even though the examination protocol is the same).
  • Is a competitive certificate for athletics valid? No, Italian regulations do not consider it valid. Therefore, a certificate specific to cycling is required for Emilia Gravel (even though the examination protocol is the same).
  • Do I need to register with a sports club to do the 190, 220 km or 300 km route? No, you have two options: register with a sports club or contact a sports medicine center directly to book an examination for a high cardiovascular effort certificate (the so-called “blank certificate”).
  • How much does the examination for issuing a certificate cost? The examination for the competitive certificate and the high cardiovascular effort certificate usually costs around €75 and is valid for one year.
